User Management in Scan My File

At Scan My File, we appreciate the need for organizations to manage multiple users under a single umbrella. Our user management system is built on an organizational structure to streamline token usage, user addition, and collaborative work.

Organization Structure Overview:

When you sign up, instead of merely creating an individual user profile, you are establishing an organizational account. Here's what you need to know:

  1. Setting Up an Organization:

    • During the sign-up process, you'll be prompted to provide an "Organisation Name."

    • This name will represent your organizational account in our system.

  2. Token Management for Organizations:

    • Whenever you or any other member of your organization purchases tokens, they are added to the collective pool of the organization's account.

    • This ensures that any member of the organization can utilize the tokens to scan files without individual restrictions.

  3. Inviting Users:

    • As the creator of the organization, you can invite others to join.

    • Upon receiving an invite and completing the registration, the new member will automatically fall under the same organization, allowing them to use and contribute to the collective pool of tokens.

Steps for Managing Users:

  1. Accessing User Management:

    • Log into your Scan My File account.

    • Navigate to the 'Account Management' section.

    • From the drop-down or the sidebar, click on 'Profile. You will be able to see other users within the same organisation below.

  2. Inviting New Users:

    • Within the User Management section, click on the 'Invite to Organisation' button.

    • Enter the email addresses of those you wish to invite.

    • Click 'Send Invitation'. An invitation email with registration instructions will be sent to the provided addresses.

  1. Monitoring and Managing Users:

    • In the Profile section, you'll see a list of all members under your organization.

    • Here, you can manage/remove users if needed.

  2. Token Contribution:

    • Every user in the organization can purchase and contribute tokens to the collective pool.

    • To do this, navigate to the 'Token Management' section and follow the usual token purchase procedure. Once purchased, tokens will automatically be added to the organization's total count.
